How to Calculate How Long Your Move Will Take:

A Complete Guide for Customers

By Vincent Atechong  |  CEO, Prince Asong Moving Company

One of the most common questions we receive from our customers is a simple one: "How long is my move going to take?" It seems straightforward, but the honest answer is that no two moves are exactly alike. The duration of a move depends on a wide range of factors — many of which are entirely within your control as the customer.

As CEO of Prince Asong Moving Company, I have overseen thousands of moves of every size and complexity. In this guide, I want to walk you through every factor that affects how long your move will take, so you can plan accurately, reduce stress, and help your moving crew do their best work efficiently.

Why Does Move Duration Matter?

Knowing how long your move will take helps you plan your day, manage elevator or parking reservations, arrange childcare or pet care, schedule utility connections at your new home, and avoid costly overtime charges. Time is money — for both of us.

1.  The Size of Your Home

The single biggest predictor of move duration is the size of your current home. More rooms mean more furniture, more boxes, more trips, and more time. Here is a general baseline our crews use as a starting point:

Studio/1-Bedroom: 1–2movers, 2–4 hours

2-Bedroom: 2–3 movers, 3–6 hours (Half to full day)

3-Bedroom: 3–4 movers, 5–8 hours (Full day)

4-Bedroom: 4–5 movers, 7–10 hours (Full day+)

5+ Bedroom / Estate: 5+ movers, 1–2 days (Multi-day plan needed)

These are estimates only. A heavily furnished two-bedroom can take longer than a sparsely furnished three-bedroom. Use these numbers as a starting point, not a guarantee.

2.  The Volume and Weight of Your Belongings

It is not just the number of rooms that matters — it is what is inside them. Consider the following:

• Homes full of heavy antiques, large sectional sofas, pianos, safes, or extensive book collections will take significantly longer to load and unload.

• A minimalist home or a recently decluttered space with fewer items will move faster.

• Specialty items such as pool tables, grandfather clocks, large sculptures, or gym equipment require extra time, special equipment, and additional hands.

Pro Tip from Vincent:

Before your move date, go through every room and donate, sell, or discard anything you no longer need. Every item you eliminate is time and money saved on moving day. We always say: the best move is the one with fewer boxes.

3.  How Well You Are Packed and Prepared

This is one of the most controllable factors — and one that customers most often underestimate. The state of your packing on moving day will have a dramatic effect on how quickly the crew can work.

If you are fully packed before the crew arrives:

• The crew can begin loading immediately without waiting.

• Items are protected and easier to handle.

• The move can proceed on schedule.

If you are not fully packed when the crew arrives:

• The crew must wait, which costs time and may cost money.

• Unpacked items are at greater risk of damage.

• Your estimated move time can increase by hours.

Our recommendation: aim to have every box sealed, labeled, and stacked in a central location (like the living room or hallway) the night before your move. The less the crew has to figure out or wait for, the faster your move will go.

4.  Distance Between Your Old and New Home

The driving distance between your origin and destination is a major time variable. This includes not just the mileage, but also:

• Local traffic conditions and time of day

• Number of trips required (for shorter local moves, the truck may need to make multiple runs)

• Highway vs. city street routing

• Seasonal weather and road conditions

For long-distance or interstate moves, travel time can range from several hours to multiple days. Always factor in rest stops, fuel, and overnight lodging requirements for the crew on very long hauls. Our team will discuss all of this with you during your pre-move consultation.

5.  Access and Logistics at Both Locations

The physical layout of your current home and your new home matters enormously. Here are the access-related factors you must consider:

At the origin (where you are moving from):

• Is there a driveway where the truck can park close to the entrance?

• Are there stairs, and if so, how many flights?

• Is there an elevator, and is it large enough for furniture?

• Are there long hallways or narrow doorways?

• Is street parking available, or will the truck need to park far away?

At the destination (where you are moving to):

• Same questions apply: stairs, elevator, hallways, parking.

• Is the building elevator reserved, or will it be shared with other residents?

• Are there loading dock hours or building restrictions on move-in times?

• Are there any narrow gates, low clearances, or roads that restrict truck size?

Important:

If your move involves stairs rather than an elevator, expect to add 15 to 30 minutes per flight for a fully loaded home. Long carries — when the truck must park far from the entrance — add significant time as well. Always notify your moving company about these details in advance.

6.  Crew Size and Experience

The number of movers assigned to your job directly affects your move time. More experienced, well-coordinated crews also work more efficiently than larger but less experienced ones.

• A 2-person crew works well for smaller moves but will take longer on large homes.

• A 3- or 4-person crew significantly reduces load and unload time for mid-size to large moves.

• For very large or complex moves, a crew of 5 or more may be appropriate.

When you book with Prince Asong Moving Company, we assess the size and complexity of your move and recommend the appropriate crew size. Requesting a larger crew upfront is almost always more cost-effective than running into overtime with a smaller crew.

7. Disassembly and Reassembly of Furniture

Many large furniture pieces — bed frames, modular wardrobes, dining tables, desks, and entertainment centers — must be disassembled to fit through doorways and onto the truck, then reassembled at the destination. This adds meaningful time to your move.

• Basic disassembly and reassembly (bed frames, table legs): 15 to 30 minutes per piece.

• Complex furniture (large wardrobes, multi-part sectionals): 30 to 60 minutes or more per piece.

• Crib or specialty children's furniture may also require careful reassembly.

If you pre-disassemble furniture before moving day and keep all screws and hardware in clearly labeled bags, you will save significant time. Our crew can also handle disassembly and reassembly as part of our services — just let us know in advance so we can plan for it.

8. Appliances and Special Items

Certain items require extra attention, preparation, or equipment, and will add time to your move:

• Refrigerators and washing machines must be disconnected, sometimes drained, and handled with appliance dollies.

• Pianos (upright or grand) require specialized equipment and trained movers and can add one to two hours or more.

• Large safes, gun cabinets, or heavy storage units require careful weight management.

• Hot tubs, outdoor kitchens, or large garden equipment involve additional planning.

• Artwork, mirrors, and antiques may need custom crating, which should be arranged in advance.

Always Disclose Special Items Early:

If you have a piano, safe, pool table, or any other specialty item, tell us at the time of booking. Failing to mention these items means we may not have the right equipment or crew on the day of your move, leading to delays or additional charges.

9.  Packing Services

If you have hired us to pack your home as well as move it, additional time must be built into your schedule. Professional packing is thorough and protective, but it takes time:

• A small home or apartment: 2 to 4 hours of packing.

• A medium home (2 to 3 bedrooms): 4 to 8 hours of packing.

• A large home (4+ bedrooms): a full day or more for packing alone.

Many customers choose to handle their own packing to save money, which is perfectly fine (read my guide on packing), — just ensure it is completed before moving day. If you want us to pack for you, we recommend scheduling a dedicated packing day separate from the actual move day.

10.  Time of Day, Season, and External Conditions

Factors outside the home also affect your move timeline:

Time of Day:  Rush hour traffic can add significant time to driving between locations. Early morning starts (7 or 8 AM) tend to be the most efficient.

Season:  Summer months (May through September) are peak moving season. Book early and expect higher demand. Winter moves can be slowed by snow, ice, or restricted access.

Weather:  Rain, snow, or extreme heat can slow the crew and require extra precautions to protect your belongings.

Building Restrictions:  Some apartment complexes and HOA communities restrict moves to certain days or hours. Know your building's rules before booking.

Putting It All Together: A Simple Formula

While every move is unique, here is a general framework you can use to estimate your move time:

For each of the following Factors, Add to Your Estimate

Base load/unload time (by home size) 2 – 10 hours

for;

Each flight of stairs (loading side), add + 20 – 30 min

Each flight of stairs (unloading side), add + 20 – 30 min

Long carry (50+ ft from truck to door), add + 30 – 60 min

Driving time (local), add + 15 min to 2 hrs

Furniture disassembly/reassembly, add + 30 min – 3 hrs

Piano or specialty item, add + 1 – 2 hrs

Packing by crew, add + 2 – 8 hrs

Rush hour or heavy traffic, add + 30 min – 2 hrs

Customer not fully packed, add + 1 – 4 hrs

Add these factors together and always build in a buffer of at least one to two hours for unexpected delays. A good rule of thumb: if you think your move will take six hours, plan your day around eight.

Your Pre-Move Preparation Checklist

Use this checklist to ensure you are ready and to minimize your move time:

• All boxes are packed, sealed, and labeled at least the night before.

• Hardware and screws are in labeled zip-lock bags.

• Appliances are disconnected and ready to move.

• All special or heavy items have been disclosed to the moving company.

• Elevator or parking reservations at both locations are confirmed.

• Building move-in and move-out rules have been reviewed.

• You have a clear path from each room to the front door.

• Children, pets, and fragile items are arranged for separately.

• You have planned your day with at least a 2-hour buffer beyond the estimate.
